You should know the date your books were last reconciled without asking. We agree a close schedule with you and report status against it.
What needs filing?
For the entities in scope, we keep a calendar of filing and payment dates, recorded separately, so upcoming dates are visible ahead of time.
Is anything outstanding?
Unpaid invoices, unreconciled items, missing documentation and open questions are tracked in one place rather than scattered across email.
Has anything important come in?
For the accounts and access in scope, correspondence is reviewed on an agreed cadence and anything that needs a response is flagged.

How does fixed monthly pricing work?

We scope your needs upfront — entities, accounts, transaction volume, payroll, filings and reporting — and agree a fixed monthly fee in writing. No hourly meter and no surprise invoices.

What's included in support?

Questions about your books, reports, filings and open items are part of the engagement.

Are there additional fees?

Only for work outside the agreed scope, such as a one-off catch-up project or a new entity. We discuss and agree any additional fee with you before the work starts.

What does onboarding look like?

Most clients are onboarded in 1–2 weeks, with one scheduled onboarding call per week until you're live. We follow five steps: Understand, Connect, Review/Clean up, Build your rhythm, Run.

Can you take over books that are behind or messy?

Yes. Catch-up and cleanup work is common. We assess how far behind the records are, agree a plan and scope, and bring them current before regular monthly work begins.

Can I keep my existing accountant/CPA?

Yes. Many clients keep their accountant for year-end and specialist work. We keep the books organized and ready for them and agree who handles what.

Do I have to use QuickBooks Online?

No. We work with QuickBooks Online and Desktop, Xero, Sage and other systems after assessment. If a change would help, we'll explain why before recommending it.

Can you handle payroll?

Yes. Payroll processing, remittance tracking, reconciliations and year-end slips such as T4 and T4A can be included, connected to your books.

Do you handle GST/HST filings?

Yes. We can prepare and file GST/HST returns for work within scope, with the books reconciled first.

Can Rybair help with CRA notices and communications?

Yes. We help you understand a notice, gather the records it asks for and prepare a response. Formal representation or specialist tax disputes are referred to an appropriate professional.

What happens if CRA contacts me?

Send it to us. We review what's being asked, tell you what it means and what's needed, and help with the next steps. If it needs a specialist, we'll say so early.

When will I receive my month-end reports?

Our standard is to close within 10 days of month-end once your records and approvals are in. Your reporting calendar is agreed during onboarding.

Who actually works on my books?

A Rybair bookkeeping team maintains and reviews your books, with accounting oversight for exceptions and judgment. Technology handles repetitive work; people stay accountable.

Can you provide reporting for my bank/lender?

Yes. We can prepare financial statements, schedules and reports a lender typically asks for. We don't arrange financing or guarantee lending outcomes.

Can you help with budgeting and cash-flow forecasting?

Yes. Budgets, cash-flow forecasts and budget-versus-actual reporting are part of our advisory and strategic finance service.

Do you work with property managers/STR operators using Guesty, Airbnb and VRBO?

Yes. Short-term rental and property management is a core focus: channel and PMS payout reconciliation, fees, refunds, owner distributions and property-level results.

Do you provide property-owner statements?

Yes. We can prepare owner statements and property P&Ls, scoped to your management agreements and systems.

Do you work with medical/professional corporations?

Yes. We support healthcare practices and professional firms with bookkeeping, payroll, reporting and year-end readiness, coordinated with your accountant.

Can you support businesses with multiple locations/entities?

Yes. We keep entities separate, report by location where your data supports it, and handle intercompany records consistently.

What happens to my price as my business grows?

Your fee stays fixed while your needs stay broadly the same. If your needs change materially, we discuss any pricing change with you before it happens.

How do I switch from my current bookkeeper/accountant?

Tell us what you need help with. We handle most of the handover — access, history and open items — and work with your previous provider where needed. Changing bookkeepers should be easier than staying with a system that isn't working.
